Closed Offices, Holidays and Skipped Visits: Handling Office Cleaning Exceptions

Most weeks, an office visit is routine. The team shows up, lets themselves in, cleans, sets the alarm and leaves. But a few times a year, something gets in the way: a holiday, a staff party running late, a new lock nobody told you about. How you handle those exceptions says more about your company than the routine weeks do.

Exceptions Are Part of the Schedule

The weekly rhythm is covered in Weekly Office Cleaning on a Fixed Slot: Keeping Every Account on Schedule. This guide is about the weeks that do not follow it.

The goal is simple: nobody should be surprised. The client should not be surprised that you did not come, and your office should not be surprised the next morning to learn that a visit did not happen. That means writing down why, telling the right person, and deciding what happens next.

Holidays You Can See Coming

Holidays are the easiest exception because they are on the calendar. A few weeks ahead, text your office accounts and ask whether they will be open on cleaning night. Two-way texting from the office makes this quick: send the question, and the replies come back in each client's thread where the whole office can see them.

Some offices will want you anyway, since an empty building is easy to clean. Others will ask you to move the visit a day earlier or later, or just skip that week. Whatever they say, move or adjust the visit on the dispatch board ahead of time instead of leaving it for the team to discover at a locked door.

Using Skip With a Note

For the surprises, the team app has a Skip button on every stop. When the team cannot do the visit, they tap Skip and write a short note saying why. Good skip notes are specific:

A photo of the sign or the locked door helps too. The office sees the skip with the note and the photo, and can follow up first thing.

Telling the Office Manager

When a visit is skipped, the office manager should hear about it from you before they notice the trash cans are still full. Send a short, friendly text the next morning: what happened, and what you suggest. “Our team couldn't get in last night, the door code didn't work. Could you send the new code? We can come back tonight or keep your regular Thursday.”

If the code changed, update the entry notes on the address as soon as you have the new one. Every future visit will show the new code, and the old one is gone. More on that in Keys, Door Codes and Alarm Notes for Office Cleaning Accounts.

Make-Up Visits or Wait for Next Week

Decide with each client in advance what happens after a skip. Write it in the notes or a custom field so the office does not have to ask every time:

Clinics and busy offices usually want a make-up. A small office that is barely used might be happy to wait. Either way, knowing ahead of time saves a round of texts.

Billing a Skipped Visit

Billing for skipped visits is a policy decision, and it should be in your agreement before the first visit. Some companies do not charge for a visit they did not do. Others charge a trip fee when the skip was the client's fault, like a locked door or a code nobody shared. For an account set to Monthly, the statement only lists the visits that were completed, plus any trip fee line you add. For per-visit accounts, a skipped job does not create an invoice on its own. Whatever your policy is, apply it the same way every time.

Learning From Repeat Problems

If the same office keeps getting skipped, the notes will show a pattern. Maybe the staff always work late on Tuesdays, and the visit should move to Wednesday. Maybe the alarm company keeps changing codes, and you need a better contact. Past notes stay with the address and show on the team's phone, so the history is easy to look back on.
