Weekly Office Cleaning on a Fixed Slot: Keeping Every Account on Schedule
An office that gets missed one week is a phone call. An office that gets missed two weeks in a row is a lost account. Weekly office visits need to happen on time, every time, and the easiest way to make sure of that is to stop keeping the schedule in your head. A weekly office should never sit on a waiting list hoping someone books it. It should already be on the schedule, in the same slot, every week.
Recurring Offices Work Like Recurring Homes
Once you have an evening team set up, as described in After-Hours Office Cleaning Routes: Running an Evening Team Next to Your Daytime Homes, the next step is giving it the right offices each night.
In MaidBossPro, a recurring office keeps a fixed slot: the same day, the same time and the same team. On Recurring Cleanings (Schedule → Recurring), the office clicks Add Recurring Cleaning, picks the address, the service and price, the frequency (weekly, every 2 weeks, every 4 weeks, or monthly on the same date), the first cleaning date, the time and the team. Then it chooses how far ahead to schedule: 3, 6 or 12 months. Every visit in that range goes straight onto the schedule.
What the Schedule Shows
Say a dental office is cleaned every Friday at 6:00 PM by Team 2. Once the series is added, that visit shows on the Scheduled List for every Friday in the range and on Team 2's app, in route order, with the time on the card. The cleaning details, extras and entry notes are copied onto every visit from the last cleaning at that address, so the team sees the alarm code and the rooms to skip each time.
The Recurring Cleanings list shows each account's slot at a glance, such as “Weekly · Fridays · 6:00 PM · Team 2,” along with the next visit and how far ahead it is scheduled. When a series is running out, the list warns you, and one click on Extend 6 months adds the next stretch of visits in the same slot.
Where the Waiting List Fits
The Waiting List is for one-off work waiting to be booked: a new deep-clean request, a move-out a property manager just sent, an approved estimate for a first office clean, or a request from your website form. It is not where weekly offices live. A recurring office never has to “show up” anywhere before it gets cleaned, because it is already booked.
That split keeps the evening team's nights predictable. The fixed slots fill in first. One-off jobs from the Waiting List, like a post-construction clean at a new suite, go into the open time around them.
Finding Your Office Accounts
If you have a lot of residential work, the schedule can get busy. Tags help. Tag every office account as “Office” or “Commercial,” and you can quickly find the commercial accounts without scrolling past every home. Saved views on the dispatch board make the evening route easy to pull up the same way each time. For more on tagging, see Tags and Custom Fields for Commercial Cleaning Accounts.
Same Night, Same Team
Offices like consistency even more than homes do. The same night each week makes it easy for staff to plan around you: they know to leave the conference room clear, to empty the fridge on Thursdays, or to leave a note on the front desk. A fixed slot keeps the same team on the same office. They learn the alarm panel, the sticky lock on the back door, and which desk always has a coffee cup left behind.
When you do need to change the team, the night, the time or the price, click Change on the series in the Recurring Cleanings list. The change applies to all upcoming visits, and finished visits stay as they were. The new team sees the same cleaning details, extras and entry notes, plus past notes from earlier visits, so they are not starting from zero. If an account ends, Stop the series and its upcoming visits come off the schedule.
Every Two Weeks and Monthly Offices
Not every office wants weekly service. Smaller offices and low-traffic spaces often go every two weeks or monthly. They work the same way, just with a different frequency on the series. A monthly office might also get a periodic extra, like interior windows or blinds. Add those as extras on the visit where they belong, so the team sees “+ Interior Windows” on the card that night and the invoice includes the line.
When a Visit Does Not Happen
Offices close for holidays, move furniture, or simply forget to leave a key out. One visit can be moved or skipped on its own from the schedule without touching the rest of the series. When the team cannot do the visit, they tap Skip with a note, and the office sees why. What happens next depends on the client: some want a make-up visit the next night, others are happy to wait until the regular day. The next guide, Closed Offices, Holidays and Skipped Visits: Handling Office Cleaning Exceptions, covers those situations.
