Keys, Door Codes and Alarm Notes for Office Cleaning Accounts

A home customer usually leaves a key, opens the door or is home to let you in. An office almost never does. There is a key, a code, an alarm panel and a door that sticks. If any of those pieces is wrong or missing, the visit does not happen, or worse, it ends with an alarm company calling the owner at 8pm. Good entry notes prevent both.

Access Is the Most Common Reason Visits Fail

Most of the exceptions in Closed Offices, Holidays and Skipped Visits: Handling Office Cleaning Exceptions come back to the same thing: the team could not get in, or could not get in cleanly.

Office access tends to be layered. There may be a building door, a suite door, an alarm, and an interior door to a records room you are not supposed to open. Each layer is a chance for something to go wrong. The answer is to write the access down once, clearly, and keep it with the address.

Where Entry Notes Live

In MaidBossPro, each address has entry & notes: lockbox, key or door code, alarm, rooms to skip and products to use. Those notes show under the address on the office lists and on the team's phone at every visit. When a new visit is scheduled at an address you have cleaned before, it fills in from the last job, with a note saying so. Nobody has to resend the code each week, and nobody has to search an old text thread for it.

When the code changes, update the address once. Every future visit shows the new code, and the old one is gone.

Writing a Good Entry Note

A good entry note answers the questions a brand-new team member would ask standing in the parking lot:

The leaving part is the one most often left out, and it matters as much as getting in. An office left open or with the alarm off is a much bigger problem than a missed visit.

Keys You Hold

Many offices give you a physical key. Have a simple system for them. Label each key with a code or short name rather than the full address, keep them in one place, and write in the entry note which key goes with which address. If a team takes a key home for an early morning visit, note it so the office knows where it is.

When an account ends, return the keys and note that you did, with the date. It is a small thing that protects you if a question ever comes up later.

Lockboxes for Rentals and Move-Outs

Property managers and rental hosts usually use lockboxes. The entry note should say where the lockbox is and how it opens: “Lockbox on the gas meter, code in notes. Return key to lockbox and scramble the dial.” If the property manager uses different codes for each unit, each unit is its own address with its own code, so the team never mixes them up. Who Can See the Codes

Codes and alarm instructions are sensitive. In MaidBossPro, the team app requires a company login plus a personal PIN, so the codes on the job card are only visible to people signed in to your team. When someone leaves your company, turning off their PIN turns off their access to the app and the codes in it.

That is a lot better than a printed sheet on the dashboard or a group text that every former employee still has. It is also a good reason to ask clients to change their codes now and then, and to tell you when they do.

When Access Fails Anyway

Even with good notes, a code will occasionally change without warning. The team should never force a door or guess at an alarm. They tap Skip, write what happened, take a photo if it helps, and move on to the next stop. The office sees the skip with the note and texts the client for the new code first thing.

Entry notes are one piece of running office, rental and move-out work smoothly. For the full picture, visit the MaidBossPro commercial cleaning software page.

Keep Codes on the Address, Not in a Text Thread

MaidBossPro shows lockbox, key, door code and alarm notes under the address on every team member's phone, behind a personal PIN.
