The Team App: What Your Cleaners See on Their Phones
The office can have the best schedule in the world, but the work happens in the homes. If your cleaners cannot see what they need on their phones, they will call you, text you or guess. The team app exists so they do not have to.
Where the Route Ends Up
Teams and Routes: Building a Cleaning Day That Makes Sense on the Map covered how the office builds each team's day. This guide is about where that day lands: the phone in a cleaner's pocket.
No App Store, No Special Phones
The MaidBossPro team app runs in the browser on iPhone and Android. It can be installed to the home screen so it opens like any other app, but there is no app store download and no special device to buy. Your cleaners use the phones they already carry.
Each cleaner signs in with your company login and their own personal PIN. That way, every job, photo and clock-in belongs to the right person. When someone leaves, turning off their PIN turns off their access.
The Day in Route Order
When a cleaner opens the app, they see their team's homes for the day in the order set on the dispatch board. Finish one home, look at the next card, load the car and go. If the office moves a job during the day, the list updates.
Each card has a navigation button that opens directions to the address in one tap. Nobody has to type a street name while carrying a vacuum.
What Is on Each Card
Every card carries the details the team needs before they walk in:
- The cleaning line: “Recurring Maintenance · 3 bed / 2 bath · 1,800 sq ft · Dog”.
- Extras: shown with a plus sign, like “+ Change Linens” or “+ Inside Oven”.
- Entry & notes: the lockbox or door code, the alarm, rooms to skip, products to use.
- Past notes: what earlier cleaners wrote about this home.
A new cleaner can walk into a home they have never seen and know which rooms to clean, what extras to do and how to turn off the alarm.
The details come from the home's record at the office, so the team never has to keep their own notes or screenshots. If the office updates a door code in the morning, the card shows the new code the next time the cleaner opens it. When a cleaner learns something new at a home, such as a client asking for the guest room to be skipped from now on, they can note it on the job and the office can update the record for every visit after.
Start, Skip, Complete
Three buttons run the day:
- Start tells the office the team is working on this home.
- Skip is for when the cleaning cannot happen, like nobody home and no key, or the client cancelled at the door. The team adds a note saying why, and the home stays due.
- Complete marks the cleaning done. The invoice is created and a card on file can be charged.
Automatic “on the way” and “arrived” texts go to the client as the team moves through the route, so the cleaner does not have to send them.
Before and After Photos
The team can take before and after photos right in the app. They stay with the job. Photos help with the rare “the bathroom wasn't done” call, and they are useful on move-outs and post-construction jobs where a landlord or builder may want proof. If the owner turns it on, clients can see before and after photos on their past visits in the customer app.
The Time Clock
The same app has a time clock. Cleaners clock in and out for the day, and for lunch and breaks, so hours are recorded as they happen instead of pieced together at the end of the week.
What the Office Sees
As cleaners tap through the day, the office sees it happen: jobs started, jobs completed with photos and notes, skips with the reason. Team GPS shows on the office map. When a client calls to ask how close the team is, the office can answer without calling the team.
Training a New Cleaner
Because the app is built around a few buttons and a list, most cleaners pick it up on their first day. Show them how to log in with their PIN, how to read a card, where the navigation button is, and how to take a photo and tap Complete. The rest they learn by doing.
The client's side of the same day is covered in The Customer App: What Your Cleaning Clients See and Do. For the whole system, visit the house cleaning software page.
