Teams and Routes: Building a Cleaning Day That Makes Sense on the Map

A cleaning team gets paid to clean, not to drive. Every extra stretch of road between homes is time nobody is cleaning, and it adds up fast across a week. Building each team's day so the homes run in a sensible order is one of the simplest ways to get more done without working longer.

How Jobs Reach the Schedule

One-Time Deep Cleans and Move-Outs in House Cleaning Software showed how one-time jobs fit next to recurring homes. This guide covers how both kinds of jobs get assigned to teams and put in order.

In MaidBossPro, recurring homes go straight onto the Scheduled List, also called the dispatch board, in their fixed slot: the same day, time and team every visit. One-off jobs start on the Waiting List, and once you book them onto a team and a day, they move to the dispatch board too.

Teams Work Like Vehicles

Each team is set up like a vehicle: “Team 1”, “Team 2”, and so on. That fits how most maid services actually work. A team is usually two or three people riding together in one car, with one set of supplies, going to one home at a time.

Employees are assigned to teams, and each one logs into the team app with their own PIN. When a cleaner moves from one team to another, change their team assignment and their phone shows the new team's day.

The Dispatch Board

The dispatch board shows jobs by day. You can filter by team to see one team's day at a time, or look at everything together. Each job shows the address with its cleaning details underneath, so you can see the weight of the day: a deep clean, two maintenance cleans and a move-out is a long day, while five small condos is a quick one.

From here you can move a job from one team to another or from one day to another. When something changes, the team's phone follows.

Auto-Route From the Office

Putting homes in order by hand works when a team has three stops you know by heart. With more stops, or with a new cleaner who does not know the area, auto-routing helps. MaidBossPro can auto-route a team's day two ways, starting from the office:

After auto-routing, you can still set the order by hand. If a client needs the team before noon, move them up. If a deep clean should come first while the team is fresh, put it first.

Saved Views and Route Sheets

Most offices look at the board the same few ways every day: one team's week, all teams for tomorrow, just the office accounts. Saved views keep those filters ready so you do not rebuild them each time.

Route sheets can be printed too. Some teams like a paper copy in the car as a backup, and some owners like to see the whole day on paper while they plan.

The Team Sees the Same Order

Whatever order you set on the dispatch board is the order the team sees in the team app. Stop 1 on the board is stop 1 on the phone. When you move a job during the day, the phone updates. Teams do not have to wait for a group text or a phone call to learn about a change.

As the team works, the automatic on-the-way and arrived texts follow the route, and clients can see their place in line on the customer app's live map. The team's side is covered in The Team App: What Your Cleaners See on Their Phones.

Team GPS on the Office Map

While teams are working, their GPS shows on the office map. When a client calls to ask how close the team is, or when a new same-day request comes in, the office can see who is closest without making calls.
