Same-Day Rental Turnover Cleaning: Fitting Rush Jobs Into a Full Schedule
The text comes in at 9:40am: a guest checked out early, the next one arrives at 4pm, and the regular turnover was scheduled for tomorrow. Or a property manager's tenant left a day late and the new one is moving in this afternoon. Rush jobs are part of rental and turnover work. The question is not whether they will happen, but how to fit them in without wrecking the rest of the day.
Rush Jobs Come With Rental Work
Regular turnovers are covered in Short-Term Rental Turnover Cleaning: Quick Cleans Between Guests. This guide is about the ones that do not wait.
Before the first rush request ever comes in, decide what you will and will not do. Will you take same-day jobs at all? Up to what time? For which clients? A clear policy makes it easier to say yes when you can and no when you cannot, without feeling bad about either.
See Who Can Take It
When a rush request comes in, the first question is who is closest and who has room. In MaidBossPro, team GPS shows on the office map, and the dispatch board shows every team's jobs for the day with Start and Complete updating as they work. A quick look tells you which team is ahead of schedule and which team is near the rental.
A team that just finished a recurring home two miles from the rental and has a light afternoon is an easy choice. A team that is already behind is not, even if they are closer.
Add It to the Route
Create the turnover as a one-time job for today and assign it to the team you picked. If you have cleaned that rental before, the job fills in from the last visit: bedrooms, bathrooms, linens and laundry extras, and the lockbox code, with a note saying it was copied. Check that the code has not changed since last time.
Then set where it goes in the route order on the dispatch board. The team's phone updates to show the new stop in the right place, with the navigation button and all the notes on the card. Nobody has to read a code over the phone.
Tell the Customers Who Move
Squeezing in a rush job often pushes back a later home on the same route. Those customers should know. Automated “on the way” texts go out as the team heads to each stop, and customers who use the customer app can see the live map showing where they are in line, such as “You're stop 6 of 8.” For a bigger change, a quick two-way text from the office (“Our team is running about an hour behind today”) heads off most frustration.
If a recurring home has to move to another day, move it on the dispatch board and let the customer know. Most people are understanding when they hear about it in the morning rather than at 3pm.
Price the Rush Fairly
Rush jobs cost you more: rearranged routes, extra driving, sometimes overtime. It is fair to charge for that. Many companies add a same-day or rush line item to the job, set up as its own service in the service list. Tell the host or property manager up front: “We can do it today. There is a same-day fee of $40 on top of the regular turnover.”
The rush line appears on the invoice or on the monthly statement next to the regular turnover, so nobody is surprised at billing time.
Confirm Before You Go
Rush jobs are the ones most likely to change again. The guest might still be inside, the tenant might not have dropped off the keys, or the host might find another cleaner. Before the team heads over, send a quick text to confirm: “Team is heading to 412 Elm in 20 minutes. Is the unit empty?” If the team arrives and cannot get in, they tap Skip with a note and a photo so the office can sort it out.
Learn Which Clients Rush Often
Some hosts and managers rush constantly; others almost never do. Tags make it easy to mark clients who often send same-day jobs, and reports by account show how much rush work each one sends. If one client rushes every week, that might be a sign to set aside part of a team's day for them, or to raise the rush fee. More on that in Reports by Account: Knowing Which Commercial Cleaning Clients Pay Off.
