What the Office Cleaning Team Sees on the Phone at Every Stop
When a team arrives at an office at 6:30pm, there is nobody to ask. The office manager has gone home, your own office is closed, and the only source of truth is the phone in their pocket. What is on that screen decides whether the visit goes smoothly or turns into a string of guesses.
The Job Card Is the Whole Briefing
Entry notes, covered in Keys, Door Codes and Alarm Notes for Office Cleaning Accounts, are one part of it. The rest of the card tells the team what kind of visit this is and what has to get done.
The MaidBossPro team app runs in the browser on iPhone and Android and can be installed to the home screen, with no app store download. Team members sign in with your company login and a personal PIN. Once in, they see their own stops for the day, in the route order set on the dispatch board.
The Top of the Card: Where and What
Each stop starts with the address and a navigation button that opens directions with one tap. Right under it is the cleaning summary, for example:
- “Office / Commercial · 2,400 sq ft”
- “Move-In / Move-Out · 2 bed / 1 bath · 950 sq ft”
- “Post-Construction · 4 bed / 3 bath · 2,800 sq ft”
The cleaning type matters more for commercial work than for homes. A team that just finished three recurring maintenance cleans needs to know the next stop is a move-out, with empty cabinets to wipe and an oven to clean, not another quick tidy.
Extras on the Card
Below the summary, the extras on this visit are listed: “+ Interior Windows,” “+ Blinds,” “+ Inside Fridge.” For offices on a regular schedule, extras often rotate, like interior windows once a month or baseboards once a quarter. When they are on the job, they are on the card, so the team does them. When they are not, the team does not spend time on work nobody is paying for.
For move-outs, the extras list is often longer: inside oven, inside fridge, inside cabinets, walls & doors, baseboards. That is covered in Move-Out Cleaning Extras: Oven, Fridge, Cabinets and Walls on Every Job Card.
Entry and Notes Underneath
Under the extras come the entry & notes: lockbox, key or door code, alarm instructions, rooms to skip and products to use. These live on the address, so they show the same way every visit. If something changed since last time, the office updates the address and the team sees the new version.
Past notes from earlier visits show too. A note like “Conference room is set up for a Friday meeting, do not move chairs” or “Back door lock is stiff, push in before turning” saves the next team from learning it the hard way.
Encourage teams to add a note whenever they learn something the next team would want to know. A burned-out light in the hallway, a new desk layout or a request the office manager made in person all belong in the job notes. The office can pass anything important on to the client, and the next team walks in already knowing.
Start, Skip, Complete
Three buttons run every stop. Start tells the office the team is on site. Complete tells the office the job is done. Skip, with a note, tells the office why it did not happen. All three show up on the dispatch board as they happen, so the office can see the evening route progress without calling anyone.
When the team taps Complete on a per-visit account, the invoice is created and the card on file can be charged. On an account set to Monthly, the visit goes onto the monthly statement instead.
Photos and the Time Clock
Before-and-after photos are taken right in the app and saved with the job. For offices and vacant units, where nobody sees the work happen, those photos are your proof of service. A quick shot of the restroom, the break room counter and the main floor is usually enough.
The same app has a time clock: clock in, clock out, lunch and breaks. For evening routes, that gives the office a clear record of when the team started and finished without anyone texting in.
One App for Homes and Offices
The best part for a maid service is that there is nothing new to learn. The same team app that runs your recurring homes runs your offices, move-outs and turnovers. A team member who knows how to work a home route already knows how to work an office route. The only difference is what is on the card.
