Setting Up House Cleaning Software in Your First Week
The first week with new software sets the tone. If it goes well, the team trusts it and you keep using it. If it drags, people drift back to the group text. A simple plan, one piece a day, keeps the first week moving and leaves you running real cleanings out of the new system by the end of it.
Before Day One
Switching House Cleaning Software Without Missing a Cleaning covered the move from an old system. Whether you are switching or starting fresh, this plan works the same way. Give each day an hour or so, around your cleaning schedule.
Before you start, gather your client list in a spreadsheet, your price list and a list of your employees with their phone numbers.
Day 1: Clients and Company Basics
- Start your 14-day free trial. No credit card is needed.
- Add your company details.
- Save your client list as a CSV file and import it. Addresses are placed on the map automatically.
- Look at the map. Fix any pins in the wrong place by correcting the address.
By the end of day one, every client is in and on the map.
Day 2: Your Service List and Prices
- Add your services: standard clean, weekly, every-two-weeks and monthly cleans, deep clean, first-time deep clean, move-in / move-out, post-construction, office cleaning.
- Add your extras: inside oven, inside fridge, interior windows, baseboards, inside cabinets, blinds, laundry, change linens, and anything else you offer.
- Set how prices tie to bedrooms, bathrooms or square feet.
- Set sales tax if you charge it.
- Make an estimate template for your most common quote.
Day 3: Home Details and Recurring Plans
Start with the homes on next week's schedule. For each one, add:
- Cleaning type, bedrooms, bathrooms and square feet.
- Pets and extras.
- Entry notes: lockbox or door code, alarm, rooms to skip, products to use.
- The recurring slot: weekly, every two weeks or monthly, plus the usual day and time.
Note each client's usual team too, so tomorrow you can add them on Recurring Cleanings in one pass. You do not have to finish every home today. Once a home has its details, the next job there fills in from the last one.
Day 4: Teams and the Team App
- Set up your teams: Team 1, Team 2 and so on.
- Add each employee with a personal PIN and a team assignment.
- On Recurring Cleanings, add each regular client with their usual day, time and team. Every visit for the next 3, 6 or 12 months goes straight onto the schedule.
- From the Waiting List, book any one-off jobs, like a deep clean request, onto a team's day.
- Auto-route each team's day Closest First or Furthest First from the office, and adjust by hand.
- Show each cleaner the team app on their own phone. It runs in the browser on iPhone and Android and can be added to the home screen.
Walk them through one card: navigation, details, extras, entry notes, Start, photos, Complete.
Day 5: The First Real Day
Run a real day on the team app. At the office, watch the jobs move from started to completed, and check team GPS on the office map. At the end of the day, look at the completed jobs, the photos and any skips with their notes.
Expect a few questions. Answer them with “it's on the card” where you can, so the team learns to look there first.
Day 6: Client Alerts and Texting
- Turn on automated reminders and alerts by text and email.
- Let clients know about the customer app and how to choose their alerts: the night before, when they are next and when the team arrives.
- Start answering client texts from the office with two-way texting.
Consider sending a short note to every client explaining what they will start seeing.
Day 7: Billing
- Ask recurring clients to add a card on file in the customer app.
- Decide which clients are charged on completion and which on a schedule.
- Set office or property manager accounts to Monthly for one statement covering every location.
- Check that invoices from this week's completed jobs look right.
Week Two and Beyond
By the end of the first week, the core is in place. In week two, fill in the rest of the home details as those homes come up, put your request and sign-up forms on your website, and set up office user roles if anyone else uses the office side. Make a habit of the weekly review in Reports for a Cleaning Company: What to Look at Each Week.
