Reports for a Cleaning Company: What to Look at Each Week

Most maid service owners know roughly how the business is doing. They know when a week was busy and when a client complained. What they often do not have is a quick, honest look at the numbers: how much got done, how much got paid, and what slipped through. Reports give you that, but only if you look at them.

Once the Data Is In

CSV Import: Moving Your Client List Into House Cleaning Software covered getting your clients into the system. Once your teams are completing jobs and invoices are being created, MaidBossPro is collecting a record of your business every day. Reports are how you read it.

This guide is not a list of every report. It is a simple weekly routine for a small cleaning company, using the reports and lists already in front of you.

Pick a Time and Keep It

The single most useful habit is a set time each week. Friday afternoon or Monday morning both work. Give it half an hour, with nothing else going on. The same few questions, asked every week, will tell you more than a big review once a quarter.

Question 1: What Got Cleaned?

Start with completed jobs for the week. Look at it by team as well as in total. You are looking for:

Over a few weeks, patterns show up. If one team always finishes late, its days may be too heavy. If deep cleans are growing, you may want a team that focuses on them.

Question 2: What Got Skipped, and Why?

Every skip in the team app comes with a note. Read them. Skips tell you about problems that are easy to miss:

A skipped visit does not move the rest of a recurring series, so decide for each one whether to move that single visit to another day or let the next regular visit cover it.

Question 3: What Is Running Out or Still Waiting?

Open Recurring Cleanings and look for the warning on any series that is running out. Click Extend 6 months on the clients who are staying, and Stop the ones who have ended service, so a regular client never drops off the schedule by accident. Then open the Waiting List for one-off jobs, like a deep clean or move-out request, that came in and still need a day. Each one deserves a decision this week: book it, or find out what happened.

Question 4: What Is Unpaid?

Look at past-due invoices. MaidBossPro follows up on them, but you still want to know who is on the list and for how long. Look especially for:

Question 5: Which Estimates Are Still Waiting?

Estimates that were sent but not approved are future work sitting on the table. Follow-up emails go out on their own, but a personal touch on the bigger ones, like a move-out with a deadline, can make the difference.

Check Form Responses for anything that has not been answered too. A website request from last Tuesday that nobody replied to is a client you are about to lose.

Question 6: How Do Clients Feel?

Clients can rate visits in the customer app. Look at the week's ratings. A low rating is a reason to call that client before they cancel. A run of high ratings for one team is worth telling that team about.

Writing Down What You Decide

It also helps to look back over a longer stretch now and then. Once a month, compare the last four weekly reviews. Are the same clients showing up as skipped or past due? Is one team always carrying the heaviest days? Patterns like these are easy to miss week to week and obvious over a month.

The review is only useful if it leads to something. Keep a short list each week: three clients to call, one route to rebalance, one entry note to fix. Next week, start by checking last week's list.

Who Should See Reports

Not everyone in the company needs to see revenue and unpaid invoices. Office user roles let you decide who sees what, which is covered in User Roles: Who in Your Maid Service Sees What. To see how reports fit with scheduling, teams and billing, visit the house cleaning software page.
