Estimates With Online Approval: From a Quote to a Scheduled Cleaning

A new client asks how much it costs to clean their home. You ask a few questions, work out a price, send it over and wait. Sometimes they say yes by text. Sometimes they say yes on the phone a week later. Sometimes you never hear back and forget to follow up. And when they do say yes, somebody types all of their details into the schedule from scratch.

Estimates with online approval fix each step of that.

Where New Clients Start

The Customer App: What Your Cleaning Clients See and Do covered what existing clients see. This guide covers how new clients usually arrive: with a quote.

Build Estimates From Your Own Service List

In MaidBossPro, estimates are built from a service list you set up once. It can hold whatever you offer, for example:

Because every estimate pulls from the same list, every quote uses the same prices. Nobody makes up a number on the phone, and two clients with the same home get the same price.

Price by Bedrooms, Bathrooms or Square Feet

Most maid services price by the size of the home. In MaidBossPro, pricing can tie to bedrooms, bathrooms or square feet. Enter the home's details on the estimate and the price follows.

For example, a company might charge $155 for an every-two-weeks clean on a three-bedroom, two-bathroom home, with a $325 first-time deep clean to start, and $35 each for inside the oven and inside the fridge. Your numbers will be your own; the point is that they come from one place.

Estimate templates help with the common quotes. If half of your new clients are three-bedroom homes wanting every-two-weeks service after a first deep clean, make that a template and start from it.

The Client Approves Online

Once the estimate is ready, send it. The client opens it, sees the services and prices, and approves online. No printing, no signing, no “sounds good” text that somebody has to remember to act on.

An approved estimate becomes the scheduled job. That is the important part. The cleaning type, bedrooms, bathrooms, square feet, pets, extras and entry notes entered on the estimate carry onto the job when the client approves it. The office does not re-enter anything, and the team's card shows the details from the very first visit.

Follow-Up on Quotes That Stall

Plenty of people ask for a quote, mean to say yes, and then get busy. Estimate follow-up emails go out to remind them. A gentle nudge a few days later often turns a forgotten quote into a client.

Approved and open estimates sit in one place at the office, so you can see at a glance which quotes are still waiting. A short weekly look at that list, alongside the follow-up emails, keeps good leads from going cold just because the week got busy.

It is still worth a personal touch for bigger jobs. A move-out or post-construction quote may deserve a call, especially if the client has a deadline.

Ask the Right Questions Up Front

A good estimate depends on good information. When a new client calls or fills out your request form, try to get:

Every answer you put on the estimate is one less thing to ask later, because it carries onto the job and stays with the home.

Walk-Throughs and First Visits

Some owners prefer to see a home before quoting, especially for deep cleans and post-construction. A walk-through lets you confirm the size, see the condition and spot the extras the client did not think to mention. Enter what you find on the estimate while you are there, and send it before you leave the driveway.

For homes quoted sight unseen, ask the team to note anything different on the first visit. The office can then update the job, and the next job at the home fills in from the corrected one.

Estimates and Your Website

Many estimates start on your website. A request form and a sign-up form both flow into Form Responses at the office, and that path is covered in Website Request and Sign-Up Forms: Turning Inquiries Into Clients.
