Moving Cleaning Teams Off Paper Job Sheets and the Group Text
A lot of cleaning companies are run from three things: a printed schedule, a notebook of codes and preferences, and a group text where everything else happens. It works, mostly, until it does not. The schedule changes at 7:30, the notebook is in the other car, and the door code is somewhere above two hundred messages about who is bringing the extra vacuum. Moving to a team app is less about technology and more about putting those three things in one place.
What Each Paper Tool Becomes
The office view, covered in What the Office Sees When a Cleaning Team Completes a Job, is the payoff. Getting there means replacing each piece of the old system with its app equivalent:
- The printed schedule becomes each team's homes in route order on the phone, updated when the office moves a job.
- The notebook becomes the cleaning details and entry notes on each job: type, beds, baths, square feet, pets, extras, lockbox, alarm, rooms to skip, products to use.
- The group text becomes Start, Skip and Complete for status, job notes for what happened, and two-way texting from the office for customers.
- The timesheet becomes the time clock, with lunch and breaks.
- The Friday invoice session becomes invoices created at each Complete.
Step One: Get the Homes In
Before anyone uses the app, the homes need to be in MaidBossPro. Most companies start with a CSV import of their client list, and imported addresses are placed on the map automatically. Then fill in the cleaning details for each recurring home:
- Cleaning type and recurring schedule: weekly, every two weeks or monthly.
- Bedrooms, bathrooms, square feet and pets.
- Standing extras, like change linens every visit.
- Entry notes from the notebook: lockbox, key, door code, alarm.
- Rooms to skip and products to use.
This is the biggest single task, and it is worth doing carefully. Once a home is filled in, every future job at that home fills in from the last one, so you only type it once.
Step Two: Pull the Codes Out of the Group Text
Go through the group text and the notebook and move every current code into the right home's entry notes. Check each one with the team lead who knows that home best, because old codes are mixed in with current ones.
Once every code is in the app, retire the old places. Delete the group text history if you can, shred the printed sheets, and put the notebook somewhere safe or destroy it. Practical habits for this are in Entry Codes on the Phone, Not on Paper: Practical Security Habits for Cleaning Teams.
Step Three: Run One Team on the App
Do not switch every team on the same morning. Pick one team, ideally with a team lead who is comfortable on a phone, and run them on the app for a week while everyone else stays on paper:
- Install the app and set up PINs.
- Run their day from the phone: route order, navigation, cards, Start, photos, Complete.
- Keep a printed route sheet in the car as a safety net for the first few days.
- Collect what was missing or confusing on the cards and fix the homes.
By the end of that week, that team's homes are well filled in, and you have a team lead who can help train the others.
Step Four: Bring Everyone Over
With one team proven, move the rest over together. Hold a short install meeting, assign PINs, and ride along with each team for at least part of their first app day. Keep printed route sheets available for the first week, then stop printing them.
Set one clear rule from the switch-over day: if it is about a home, it goes in the app. Door codes, notes and changes stop going into the group text. The group text can stay for team chatter, but not for anything a substitute team would need.
Step Five: Retire the Paper
The last step is the hardest: actually stopping. Paper has a way of coming back when someone is nervous. After two or three weeks, stop printing schedules, stop the paper timesheet, and stop answering “what's the code?” texts with the code. Instead, point people to the card. If a code is wrong on the card, fix the card.
Many companies are surprised how quickly paper stops being missed. To see the full team app that replaces the paper, visit the MaidBossPro maid service app page.
