What the Office Sees When a Cleaning Team Completes a Job

Most of this series is about the team's side of the phone. This one turns the camera around. When a cleaner taps Complete in a kitchen across town, what actually changes back at the office? Quite a lot, and none of it needs a phone call.

One Tap, Several Updates

The first visit to a new home sets up everything that follows, as covered in The First Clean at a New Home: What the Team Checks in the Maid Service App. Every visit, first or fiftieth, ends with the same tap, and that tap updates the office in several places at once.

The Job Shows Done

On the Scheduled List, the dispatch board, the job is marked complete. An office looking at Tuesday can see at a glance which homes are done, which are in progress after a Start, and which were skipped. Filter by team to see how Team 1's day is going without texting the team lead.

Combined with team GPS on the office map, the office knows where each team is and how far through its list it has gotten. That is the information needed to answer a customer's “when will they get here?” or to decide which team can take a same-day job.

Photos and Notes Are Attached

The before-and-after photos and any notes the team wrote are saved with the job. Open it and they are right there, with the right home and the right date. A few things the office can do with them:

Skips arrive with the team's reason, so the office can contact the customer and reschedule.

The Invoice Is Created and Payment Runs

Complete creates the invoice from the job's line items: the clean, each extra, sales tax if you charge it. If the customer has a card on file and auto-charge on completion is set, the card is charged. The office sees the invoice paid or open, with no Friday-night invoicing session.

Open invoices, from declined cards or customers without a card, go through past-due follow-up. Customers can view and pay in the customer app. The details are in Invoices Sent From the Job: How Completing a Cleaning Bills the Customer.

Monthly Accounts Collect Into One Statement

For offices, dental groups and property managers set to Monthly billing, a Complete does not trigger a separate charge. Instead, each completed visit adds to that account's monthly statement. At the end of the month, the customer gets one statement covering every location, with each line labeled with its address.

For the office, this means a property manager with five rental units, each cleaned between tenants, gets one tidy statement instead of five invoices to track. The teams do nothing different. They complete each location like any other job.

The Next Recurring Visit Is Already Booked

For recurring homes, a Complete does not have to start anything. Each recurring client keeps a fixed slot: the same day, the same time and the same team. When the office added the home on Recurring Cleanings, every visit for the next 3, 6 or 12 months went straight onto the schedule, so the next one is already on the Scheduled List and on that team's app, with the time on the card.

The Recurring Cleanings list shows each client's slot, such as “Every 2 weeks · Tuesdays · 9:00 AM · Team 1,” and warns the office when a series is running out, so a click on Extend 6 months keeps it going. If one visit needs to move or be skipped, the office changes just that visit from the schedule.

The Customer Side Updates Too

While the office sees the job done, the customer sees it too. If they turned on arrived texts, they already know the team was there. In the customer app, the visit shows with its invoice, and with before-and-after photos when the owner turns them on. The customer can rate the visit and refer a friend from the same app.

Why This Matters for Owners

For a small cleaning company owner, the biggest change is how much they do not have to do. No check-in calls, no end-of-day paperwork from each team, no invoice writing, no rebuilding next week's recurring homes by hand. The office's day becomes reviewing what the teams finished and planning ahead, instead of reconstructing what happened.
