Moving the Cleaning Schedule Off Paper, Spreadsheets and the Group Text
Many cleaning companies run on a combination that grew up over years: a spreadsheet with every customer, a paper planner for the week, a whiteboard in the office, and a group text where the teams get their homes and the lockbox codes. It works, mostly, because the owner holds it all together. Moving off it can feel like more trouble than it is worth.
It usually is not, if you do it in steps.
Why Move at All
Most of the mistakes in Common House Cleaning Scheduling Mistakes and How to Avoid Them come straight from paper-and-spreadsheet scheduling: homes forgotten because nobody remembered, codes in old group texts, and a schedule only one person can read. Each system works on its own. The trouble is that none of them talk to each other.
When the customer list, the schedule, the teams' phones and the customer texts all come from one place, a change in one shows up in all of them.
Step 1: Get Your Customers In
Start with your customer list. MaidBossPro supports CSV import, so your spreadsheet of customers and addresses can come straight in. Imported addresses are placed on the map automatically, so you can see your customers on the map from day one.
Before you import, take a little time to clean the spreadsheet. Remove customers who left years ago, fix obvious address typos and make sure each row has a phone number. A clean import saves cleanup later. One client can have many addresses, which is useful for property managers and anyone with more than one home.
Step 2: Add the Cleaning Details
Next, add what makes each home a cleaning job: the cleaning type, bedrooms, bathrooms, square feet, pets and usual extras. Add entry notes (lockbox, key, door code, alarm, rooms to skip, products to use) from wherever they live now, whether that is the group text, the planner margins or the owner's memory.
This is the step that pays off most. Once a home's details are in, new jobs at that home fill in from the last one. You type the lockbox code once.
Step 3: Set Up Teams and Recurring Plans
Create your teams (Team 1, Team 2) and add your employees with personal PINs, each assigned to a team. Then add each recurring home on Recurring Cleanings with the slot it already has in your planner: how often (weekly, every 2 weeks, every 4 weeks or monthly), the day, the time and the team. Every visit for the next 3, 6 or 12 months goes straight onto the schedule. Teams are covered in Setting Up Cleaning Teams: Team 1, Team 2 and Who Rides Where.
Step 4: Run One Week Side by Side
Do not throw away the planner on day one. Build next week in MaidBossPro, keeping the same homes on the same teams and days you already use. Compare it to your paper schedule. Where they differ, find out why. Usually it is a missing customer, a wrong rhythm, or a home that was moved last month and never updated.
The side-by-side week is also when you will find the information that never made it into any system: the customer who only wants the team on the second floor every other visit, the home where the good vacuum lives in the hall closet, the office that needs the trash taken to the dumpster out back. Each of those belongs in the notes on the home. Writing them down now means a covering team can handle that home on a sick day without calling you.
Once a week in the software matches what you know is true, you can trust it. Most owners find this takes a week or two.
Step 5: Move the Teams to the App
The team app runs in the browser on iPhone and Android and can be installed to the home screen, with no app store download. Teams sign in with your company login and their personal PIN and see their homes in route order, with navigation, cleaning details, extras and entry notes on every card.
Start with your most comfortable team lead. Ride along for a day if you can. Once they see that the codes are on the card and the on-the-way texts send themselves, they tend to help convince the others. Printing route sheets for a week or two can make the change gentler for anyone who likes paper.
Step 6: Retire the Group Text
The group text is the last thing to go, and the most important. As long as it exists, people will keep using it, and old codes will keep living on old phones. Once teams are working from the app, announce a date after which homes and codes are only on the app. Customer communication moves to two-way texting from the office.
Keep the Customers Informed
Let customers know about the change in a friendly way. Tell them they will get automatic reminders, can choose their alerts and can see their team's progress in the customer app. Most customers welcome it.
