Setting Up Cleaning Teams: Team 1, Team 2 and Who Rides Where

Most house cleaning companies do not send one person to a home. They send a team, usually two or three people who ride together, split the rooms and leave together. How you set those teams up shapes everything else on the schedule: how many homes a day you can clean, who your customers get to know, and how easy it is to cover when someone is out.

Teams Are the Unit You Schedule

The dispatch board, explained in The Dispatch Board by Day: Seeing Every Cleaning Team's Homes at a Glance, shows every cleaning by day. Each of those jobs belongs to a team.

In MaidBossPro, a team is set up the way other trades set up a truck or a van: give it a name like “Team 1” or “Team 2,” and it becomes something you can assign jobs to, filter by and route. You schedule homes to the team, not to each individual cleaner, which matches how the work actually happens.

Simple names work best. “Team 1, Team 2, Team 3” is easy to say on the phone and easy to read on the board. Some owners prefer colors or neighborhoods, like “North Team.” Either is fine, as long as everyone uses the same name.

Adding People to a Team

Each employee gets a personal PIN and is assigned to a team. When they open the team app on their phone, they sign in with your company login and their PIN, and they see their team's homes for the day in route order.

Because each person signs in with their own PIN, everything they do belongs to them: the clock-in, the job they started, the photos they took, the note they left. If someone leaves the company, turning off their PIN turns off their access, without changing anyone else's login.

Deciding Who Works Together

The software holds the teams. Choosing the people is an owner's call. A few practical things most cleaning owners weigh:

How Many Teams Do You Need?

There is no formula for this. It depends on how many homes you clean, how big they are and how far apart they sit. The board answers the question better than any rule of thumb. If one team is regularly overloaded and new deep cleans and move-outs keep sitting on the Waiting List because no team has an open slot, it is time to think about another team. If two teams are regularly finishing early, you may have room to take on more homes before you hire.

Some owners also keep themselves as a team on the board. The owner who still cleans a few homes, does walk-throughs for new estimates, or handles a rental turnover can have their own name on the schedule. That keeps the owner's day visible too.

Keep Teams Steady

Customers notice who walks through their door. When the same team goes to the same home every visit, that team learns the house: where the vacuum goes, which bedroom the customer wants left alone, how the dog behaves. It also builds trust, which matters when someone has a key to your home. Keeping teams steady makes that possible.

That does not mean teams can never change. People leave, people get sick, and the company grows. But reshuffling teams every week makes it very hard to keep the same faces at the same homes. More on that in Keeping the Same Team at the Same Home: Why Cleaning Customers Notice.

Teams and the Office Map

Once teams are set up and signed in, team GPS shows on the office map. That turns the team names on the board into dots on a map, so when a customer calls to add a fridge clean or a team finishes early, you can see who is closest. It is one of the main reasons to schedule by team rather than by individual: the team is what moves through town.

Getting Started

If you are moving from paper or a spreadsheet, start with the teams you already have. Name them, add your employees with PINs, assign each person to a team and schedule a normal week. Adjust from there. Most of the value comes from having the teams in the system at all, not from getting the setup perfect on the first day.
