Printing Route Sheets for Cleaning Teams

The team app puts every home, in route order, on the team's phone. So why print anything? Because some team leads simply like paper. A sheet on the clipboard can be glanced at without waking up a phone, written on in pen, and handed to a new team member on their first day. Printing route sheets is not going backwards. It is giving people a choice.

Start From a Saved View

The quickest way to print a team's day is from the view you already use, as covered in Saved Views on the Cleaning Dispatch Board. Open the team's view for the day, make sure the route order is right, and print.

MaidBossPro lets you print route sheets from the dispatch board, so the paper shows the same homes in the same order the team will see on the phone.

When Paper Helps

A few situations where printed route sheets are useful for cleaning teams:

Paper Goes Out of Date

The weakness of paper is obvious: it does not update. If the office moves a home to another team at 10am, the phone shows the change and the paper does not. That is where most problems with printed sheets come from.

The fix is a simple rule your teams can remember: the phone wins. If the paper and the phone disagree, follow the phone. The sheet is a helper, not the schedule. When the office makes a change mid-day, a quick text to the team lead (“Moved the Parkers to Team 1, check your app”) closes the gap.

Be Careful With Entry Codes

Printed sheets raise a fair security question. A sheet with lockbox codes and alarm codes on it is something you do not want left on a car dashboard, in a trash can, or in a former employee's pocket. In the team app, entry notes are behind the company login and each person's PIN, and turning off a PIN turns off that person's access.

If you print sheets, think about what you really need on paper. Many owners leave the codes on the phone only and print just the addresses, cleaning details and order. If codes must be on paper, collect the sheets at the end of the day and shred them. Entry notes are covered in Entry Codes on the Card: Lockboxes, Keys and Alarms in the Team's Day.

What to Do With Notes Written on Paper

Teams write on route sheets: “new dog,” “customer wants baseboards next time,” “side door sticks.” Those notes are valuable, and on paper they get lost. Ask the team to put anything important into the job notes in the app before they tap Complete, or hand the sheet to the office at the end of the day so someone can enter it.

Notes in the app stay with the home. The next team, even a covering team on a sick day, sees them as past notes. Notes on paper end up in the recycling bin.

Paper Alongside the App, Not Instead of It

The team app does things paper cannot: one-tap navigation to each address, Start / Skip / Complete, before-and-after photos, automatic on-the-way and arrived texts, card-on-file charges and invoices on completion, and the time clock. A printed route sheet does none of those.

So the best way to use paper is as a companion. The team runs the day from the app and keeps the sheet for a quick look or a backup. If you find teams running entirely from paper and ignoring the app, the texts stop going out and the office stops seeing progress. That is worth a conversation.

Print Only What Helps

If nobody on a team wants paper, do not print it. If one lead wants it, print theirs. The goal is a day that runs smoothly for the people doing the work. For how printing fits with the board, teams and routing, see the MaidBossPro cleaning scheduling software page.
