Saved Views on the Cleaning Dispatch Board
Most people who build a cleaning schedule look at the board the same few ways every day. Tomorrow for Team 1. Tomorrow for Team 2. The rest of the week for everyone. Setting up those views from scratch every morning is a small task, but small tasks done twenty times a day add up. Saved views take that step away.
Faster Mornings, Including the Bad Ones
The sick-day routine in Sick Days and Covering a Team: Rebuilding the Cleaning Schedule Before 8am depends on getting to the right view fast. When you are rebuilding a day before 8am, every click you save matters. Saved views are one of the simplest ways to save them.
What a Saved View Is
On the MaidBossPro dispatch board, a saved view keeps the way you like to look at the schedule, so you can come back to it in one step. Instead of picking the day, choosing the team and setting things up again, you open the view and the board is ready.
Think of it as a bookmark for the board. The jobs on it change every day, but the way you look at them stays the same.
Views Worth Saving
Every office is different, but a few views are useful for most cleaning companies:
- One view per team. Team 1, Team 2, Team 3. This is the view you use to check each team's load and route, and the one you open first on a sick day.
- All teams, tomorrow. The whole day at once, for balancing teams the afternoon before.
- The owner's jobs. If the owner still cleans, does walk-throughs or handles move-outs, a view of just the owner's work keeps their day visible.
- Commercial and rental work. If you have office or property-manager accounts, a view focused on them makes after-hours stops easy to check.
Start with one view per team. Add others as you notice yourself setting up the same board over and over.
A useful way to find the views you need is to pay attention for a week. Every time you open the board and spend a few clicks getting it the way you want, jot down what you were looking for. By Friday you will have a short list, and that list is your set of saved views. Most cleaning offices end up with somewhere between three and six. More than that and people start to forget which one to open.
Saved views also help on the hard mornings. When someone calls in sick, opening the short team's view and then each other team's view, one click at a time, makes the rebuild much faster than setting up the board by hand while the phone keeps ringing.
Saved Views and Daily Routine
Saved views work best when they match a routine. A typical afternoon in a cleaning office might look like this:
- Open the Waiting List and book new deep cleans, move-outs and approved estimates into open gaps around the fixed recurring slots.
- Open the all-teams view for tomorrow and look for uneven days.
- Open each team's view, auto-route, and set any fixed-time stops by hand.
- Glance at the rest of the week for big jobs coming up.
With saved views, each of those steps starts with one click. The routine becomes something anyone in the office can follow, not just the person who knows how the owner likes the board set up. A full daily routine is in A Daily Scheduling Routine for a House Cleaning Office.
Sharing the Schedule Work
In many cleaning companies, the owner builds the schedule. As the company grows, an office person or a lead cleaner starts helping. Saved views make that handoff easier. The new person opens the same views the owner uses and sees the board the same way. Fewer questions, fewer mistakes.
Office user roles in MaidBossPro let you give office staff access to the schedule without giving them everything else.
Keep Views Simple
It is tempting to create a view for every situation. Too many views become their own clutter. A good test: if you have not opened a view in a couple of weeks, you probably do not need it. Keep the handful you use every day and let the rest go.
Names matter too. “Team 2 – tomorrow” is clear. “My view 3” is not. Name each view for what it shows, so anyone in the office can pick the right one.
Paper Still Has Its Place
Some team leads like a printed list on the clipboard, even with the team app on their phone. Once you have a team's view set up, printing a route sheet from it is a short step. Printing route sheets is covered in the next guide. For the rest of the scheduling tools, see the MaidBossPro cleaning scheduling software page.
