From Approved Cleaning Estimate to Scheduled Job

A cleaning company does not make money when a customer approves a quote. It makes money when a team cleans the home and the invoice is paid. Everything between those two points is where approved jobs get delayed, details get lost and first impressions get spoiled. The shorter and cleaner that path, the better.

The Gap Between Yes and the First Clean

Online approval, covered in Online Estimate Approval for House Cleaning Customers, gets the customer's yes quickly. The next step is turning that yes into a visit on a team's schedule.

In many cleaning companies, this is where things slow down. Someone has to notice the approval, open the quote, find a day, create an appointment in a separate calendar, copy the address, text the team the door code, and remember the oven add-on. Each copy is a chance to get something wrong.

The Approved Estimate Becomes the Job

In MaidBossPro, an approved estimate becomes the scheduled job. There is no separate step of creating an appointment from scratch. The job has the same services and add-ons the customer approved, at the same prices, and the same cleaning details:

Nothing is re-typed, so nothing is mistyped.

Putting It on a Team's Day

The new job goes on the schedule like any other. On the Scheduled List, also called the dispatch board, the office sees jobs by day and can filter by team. Each team is set up like a vehicle, such as “Team 1” or “Team 2.” The office assigns the new job to a team and a day.

Because the cleaning details show under the address on the office lists, the scheduler can see that this is a long first-time deep clean and not a quick recurring visit, and plan the day around it. Auto-route can order the day Closest First or Furthest First from the office, or the office can set the route order by hand.

The Team Sees Everything

On cleaning day, the job shows on the team's phone in route order. The card shows the address with a navigation button, the cleaning details, the extras and the entry notes. For example: “Deep Clean · 3 bed / 2 bath · 1,800 sq ft · Dog,” with “+ Inside Oven” and “Lockbox on side door” underneath.

The customer gets automatic reminders and alerts too. Depending on their preferences, that can be a text the night before, a text when they are next, and a text when the team arrives. The team taps Start when they begin, takes before-and-after photos, and taps Complete when they finish. Completing the job can create the invoice and charge the card on file.

Recurring Visits After the First

For a recurring customer, the first visit is only the beginning. On Recurring Cleanings, the office clicks Add Recurring Cleaning, picks the home, the service and price, the frequency, the first date, the time and the team, and chooses to schedule 3, 6 or 12 months ahead. Every visit in that range goes straight onto the Scheduled List and the team's app, with the time on the card.

Each recurring visit is copied from the home's last cleaning, so the beds, baths, pets, extras and entry code are already there. If the first visit was a deep clean, make sure the following visits carry the recurring price the customer approved, not the deep clean price. How first-visit and recurring prices are presented is covered in Pricing the First-Time Deep Clean Before Recurring Service Starts.

It is worth a quick check before the first visit, too. Glance at the job the day before: are the beds, baths, pets and entry notes all there, and is the right cleaning type set? A first visit is the customer's first impression of the team, and a minute of checking is a cheap way to make it a good one.

When the Customer Wants a Specific Day

Many customers will ask for a particular day of the week. Note it on the job, and put the first visit on that day when you schedule it. For recurring customers, that day becomes their fixed slot: the first cleaning date sets the weekday, and every visit lands on it with the same time and team. If they later want a different day, Change on the series moves all upcoming visits at once.

The shorter the path from approval to the first clean, the fewer chances for mistakes and the better the customer's first impression. For how scheduling fits with the rest of the estimating process, visit the house cleaning estimate software page.
