Online Estimate Approval for House Cleaning Customers

The moment a customer decides to hire you is short. They read the quote, it looks right, they are ready. If saying yes means printing a PDF, signing it, scanning it and emailing it back, a lot of them will put it off until tomorrow, and tomorrow they call another company. Online approval keeps that moment from slipping away.

How Customers Used to Say Yes

Templates, covered in Cleaning Estimate Templates for Your Most Common Jobs, get the quote out faster. Online approval makes the answer come back faster.

Without it, cleaning companies collect answers in all sorts of ways: a reply email, a text that says “sounds good,” a voicemail, or a customer who just assumes they are booked. Each one leaves the office to work out which quote was agreed to, at which price, with which extras, and then type it all into the schedule. Mistakes creep in. A customer who agreed to the inside of the oven on the first visit gets a team that never heard about it.

What the Customer Sees

In MaidBossPro, the customer opens the estimate on their phone or computer. They see your services and add-ons as separate lines with prices, the first visit and recurring prices, and the home's details the price is based on: cleaning type, bedrooms, bathrooms, square feet, pets and extras.

They approve it online. That is the whole process from their side. There is nothing to print, nothing to fill in again, and no signature to scan and send back.

What Happens When They Approve

When the customer approves, the approved estimate becomes the scheduled job. The cleaning details on the estimate carry onto the job: the cleaning type, size, pets, extras and entry notes such as the lockbox location and alarm. The office does not re-type any of it.

From there, the job goes on a team's day. For recurring service, the office adds the home on Recurring Cleanings with a fixed slot (same day, same time, same team), and every visit for the next 3, 6 or 12 months goes straight onto the schedule. How the approved estimate becomes a scheduled visit is covered next, in From Approved Cleaning Estimate to Scheduled Job.

Handling Questions Before Approval

Some customers will have a question before they approve. “Does the deep clean include the inside of the windows?” “Can you do Thursdays?” “Is the dog fee per visit?” Make it easy to ask:

That last point matters. If the customer adds interior windows by text and the estimate is not updated, the team will not know, and the invoice will not include it.

Approval and Payment

Approval and payment are separate steps. Online approval says “yes, book this.” Getting a card on file can happen at the same time or later:

Many cleaning companies ask for a card on file before the first visit, especially for move-outs and one-time deep cleans. That is your policy to set.

Online approval also gives you a clear record. If a customer later says they never agreed to the inside of the oven, or that the price was different, the approved estimate shows exactly what they approved. That protects both sides, and it settles questions that a text saying “sounds good” never could.

Following Up on Quotes Nobody Approved

Not every customer approves right away. Some are comparing, some are busy and some forgot. Estimate follow-up emails remind the customers who have not answered, so the office is not keeping a list of who to call. Tracking which estimates are sent, approved or waiting is covered later in this series.

Online approval does not change your prices or your service. It removes the friction between a customer deciding yes and you knowing about it, and it gets the right details onto the job automatically.
