Quoting a Recurring Cleaning: From Estimate Approval to the First Scheduled Visit

A recurring client starts with a number. How much for every two weeks? What about the first visit? Is the oven included? The way you answer those questions, and how quickly the answer turns into a cleaning on the calendar, decides whether a curious lead becomes a standing client or a name in an old inbox.

Where Recurring Clients Come From

Once a client is on the schedule, routing them well is covered in Building Recurring Cleaning Routes by Neighborhood and Day. Before that, they need a quote.

New recurring clients reach you a few ways: a phone call, a text, a referral, or your website. In MaidBossPro, a website request form and a sign-up form both flow into Form Responses. A sign-up form captures the client's card along with their details, and one click converts a sign-up into a client. A request form gives you what you need to build an estimate.

Building the Estimate From Your Service List

Estimates are built from your own service list. For recurring work, a typical list includes:

Pricing can tie to bedrooms, bathrooms or square feet, so the same Every-Two-Weeks Clean service can price a two-bedroom condo and a four-bedroom house differently without separate services for each. You pick the service, enter the home's details, and the line item follows your pricing.

Estimate templates save time when most quotes look alike. A “New Recurring Client” template might hold a first-time deep clean, the every-two-weeks clean, and a couple of suggested add-ons, ready to adjust for each home.

Capture the Home on the Estimate

An estimate is also the first time you write down what the home is. Fill in the cleaning details while you have the client on the phone or during the walkthrough:

Details entered on an estimate carry onto the job when it is approved. That means the first team to walk into the house already has the door code and knows about the cat, without anyone retyping anything. After that first job, the home's details carry onto every visit that follows, as covered in Remembering Each Home: How a Recurring Cleaning Fills In From the Last Visit.

Show the Recurring Price Clearly

Recurring estimates confuse clients when they cannot tell what they are paying now versus later. Make it obvious:

Those prices are only examples. Whatever your numbers, a short line in the estimate notes, like “Your recurring price starts with your second visit,” heads off a lot of questions.

Online Approval and Follow-Up

The client approves the estimate online. No printing, no signing, no scanning. If they do not approve right away, estimate follow-up emails go out so a busy client is reminded without you chasing them by hand. A personal text through two-way texting on top of that, “Any questions on your cleaning quote?”, often gets a quick yes.

From Approval to the First Visit

When the client approves, the approved estimate becomes the scheduled job, with the cleaning details carried onto it. From there:

  1. Put the first visit on a team's day, ideally the day that team already works the client's neighborhood.
  2. On Recurring Cleanings, click Add Recurring Cleaning and set the slot: the service and price, the frequency, the first date, the time and the team, scheduled 3, 6 or 12 months ahead.
  3. Make sure there is a card on file, either from the sign-up form or entered by the client in the customer app.
  4. Send a short welcome text with the date, what to expect and how to reach you.

Every visit in the series goes straight onto the schedule and the team's app, with the home's cleaning details copied onto each one. Nobody has to remember to book the second visit.

Walkthrough or Phone Quote

Some companies walk every home before quoting. Others quote by phone or text from the bedrooms, bathrooms, square feet and a few photos, then adjust after the first visit if the home turns out bigger or dirtier than described. Either way, the estimate is where those details live. If you quote by phone, say so on the estimate: “Price confirmed after the first visit.” That leaves room to correct it without an awkward conversation.

Speed Wins

The single biggest factor in turning a quote into a client is speed. A lead who gets a clear estimate the same day, approves it from their phone and gets a welcome text with a date is far more likely to stick than one who waits days for a callback.
