Auto-Charging Recurring Cleaning Clients After Each Cleaning
A weekly client is fifty-two invoices a year. An every-two-weeks client is twenty-six. Multiply by your client list and the billing becomes a part-time job: sending invoices, waiting for checks under the doormat, chasing the ones that never came. Auto-charging after each cleaning makes most of that disappear, and recurring clients usually prefer it.
Why Recurring Clients Should Be on Card
Photos, covered in Before-and-After Photos for Recurring Cleaning Clients, show the client what they paid for. Auto-charge makes the paying part painless.
Recurring clients are ideal for a card on file for a few reasons:
- They are not home. Collecting cash or a check at the door does not work when the house is empty.
- The amount is predictable. Same home, same service, same price most visits.
- They do not want to think about it. Part of what they are paying for is one less thing to manage.
- You get paid when the work is done. No waiting a week for a check, no reminders, no end-of-month pile.
Getting a Card on File
There are a few ways a recurring client's card gets on file in MaidBossPro:
- The sign-up form. Your website sign-up form captures the card along with the client's details, and it flows into Form Responses. One click converts the sign-up into a client.
- The customer app. Clients can add or update their card themselves.
- Paying online. When a client pays an invoice online through the customer app, that is a natural moment to ask them to save the card for future visits.
Make a card on file part of your recurring signup. A simple line in the welcome text, “We charge your card after each cleaning, and you will see every invoice in the app,” sets the expectation.
Charging at Complete or on a Schedule
MaidBossPro can auto-charge the card on file in two ways:
- On completion. When the team taps Complete on their phone, the invoice is created and the card on file can be charged right then. This is the most common setup for recurring homes.
- On a schedule. If you prefer to batch charges, cards can be charged on a schedule instead.
Charging on completion has a nice side effect: the invoice and the visit are tied together. If a client asks what a charge was for, it matches a specific cleaning with its date and line items, and often its before-and-after photos.
What the Invoice Shows
Each invoice has line items and sales tax where it applies. A typical recurring invoice might show:
- Every-Two-Weeks Clean, $155
- Inside Oven, $35
- Sales tax, if your area charges it on cleaning
Those prices are illustrations. If you rotate paid add-ons, the add-on shows as its own line on the visit where it was done, which keeps the invoice honest. Clients see every invoice in the customer app, so they can look back at any visit without calling the office.
When a Card Fails
Cards expire, get replaced after fraud, or hit a limit. When a charge fails, the invoice stays open, and past-due follow-up reminds the client. The fix is usually simple: the client updates their card in the customer app and pays the open invoice online.
A personal text through two-way texting helps too: “Hi Sam, your card on file didn't go through for Tuesday's cleaning. You can update it in the app whenever you get a minute.” Friendly and specific, with no drama.
If a recurring client has several failed charges in a row, have a conversation before the next visit. It is easier to sort out billing before you clean than to collect for three cleanings after.
Monthly Statements for Multi-Address Accounts
Some recurring clients are not households. A property manager with several rentals, a small office group, or a dental practice with a few locations may prefer one bill. In MaidBossPro, an account set to Monthly billing gets one statement each month covering every location, with each line labeled with the address. The recurring cleanings are still scheduled and completed one by one. Only the billing is rolled up.
Telling Clients About Price Changes
Auto-charge only works if clients trust it. That means never surprising them. If your price is going up, tell recurring clients ahead of time, as covered in Raising Prices for Recurring Cleaning Clients Without Losing Them. A charge that is higher than expected without warning is the fastest way to lose a card-on-file client.
Billing That Takes Care of Itself
With cards on file and charges at Complete, most recurring billing happens without anyone touching it. The office handles the occasional failed card and the monthly statements, and spends the rest of its time booking and selling.
