Billing Property Managers for Cleaning: Every Address, One Monthly Statement

A property manager can be the best client a cleaning company has. Steady turnover cleans, common areas on a schedule, the occasional deep clean between long-term tenants, all from one relationship. They can also be the most confusing client to bill, because the work is spread across many addresses, the people who order the cleans are not always the people who pay, and the owner of each property may want to know exactly what was spent on it.

Bigger Than a Dental Group, Same Pattern

The setup here follows the same pattern as Billing a Dental Group for Cleaning: Every Location on One Statement: one client, many addresses, one monthly statement. Property managers just tend to have more addresses, and those addresses change more often.

A property manager might have single-family rentals across town, units in a few small buildings, a leasing office and some common hallways. All of that belongs under one client.

Setting Up the Property Manager

In MaidBossPro, create the property management company as the client and add every property or unit you clean as an address under it. A few tips on how to name them:

If you are bringing on a property manager with many addresses, CSV import puts them in at once, and imported addresses are placed on the map automatically so they show up correctly on the schedule and the dispatch board.

Then set the client to Monthly. Every cleaning at every address collects onto one statement, each line labeled with the address.

Different Work, Same Statement

Property managers order several kinds of cleaning, and they can all land on the same statement:

Each line on the statement shows the address and the cleaning type, so the property manager can see at a glance that Unit 2 got a move-out clean with inside oven and the lobby got its four weekly cleans. Turnovers have their own wrinkles, which are covered next in Invoicing Move-Out Cleans for Property Managers Without Losing Track of Units.

Why Address Labels Matter So Much

Property managers usually manage properties for owners, and each owner wants to see what was spent on their property. When every line on your statement is labeled with the address, the property manager's bookkeeper can split your statement across owners without calling you to ask which unit a charge belongs to.

That is the single most useful thing you can do for a property management client. A statement that says “Move-Out Clean — $285” with no address creates work. A statement that says “88 Lake Dr — Move-In / Move-Out, 3 bed / 2 bath” gets approved.

Who Orders, Who Approves, Who Pays

At a property management company, the person who texts you about a turnover might be a leasing agent, a maintenance coordinator or the manager. The person who pays is often someone else. Agree on a few things before the first month:

Keep those answers in the client notes. When a new leasing agent asks for a deep clean, the office can check who needs to approve it before scheduling.

Entry and Access for Rentals

Rentals often mean lockboxes, key pickups and alarm codes that change between tenants. Keep them in the entry & notes for each address so the team sees them on the phone. Because MaidBossPro remembers each home, a new job at an address you have cleaned before fills in from its last job, including the entry code. When a code changes at turnover, update it once on the address and every future job uses the new one.

Many Addresses, One Relationship

A property manager is one relationship with many addresses. Set them up as one client, label every address clearly, set them to Monthly, and send one statement that their bookkeeper can split by property without calling you.
