Why Cleaning Quotes Get Lost, and What to Change

Every cleaning company loses quotes. Some customers were never going to book, some found a cheaper option, and some simply changed their minds. Those losses are part of the business. But many lost quotes are not about price or fit at all. They are lost to things the company controls, and those are worth fixing.

Not Every Lost Quote Is About Price

Tracking, covered in Tracking Cleaning Estimates: Sent, Approved and Gone Quiet, shows you which quotes you lose. This article is about why, and what to change.

When a quote is lost, it is tempting to assume the price was too high. Sometimes it was. But when you ask customers who went elsewhere, you often hear something else: “They got back to me first,” “I wasn't sure what was included,” or “I meant to call you back.” Each of those has a fix that does not involve lowering your prices.

Reason One: Too Slow

The most common avoidable loss is speed. A customer who asks three companies for a quote and gets one back in ten minutes, one the next day and one never, often books the first. They are not shopping for the lowest price so much as for someone who seems ready to help.

What to change: Send estimates on the call whenever you can. Build them from your service list or a template while you talk. Answer website requests in Form Responses the same day, ideally within the hour. Quoting on the phone is covered in Quoting a House Cleaning Over the Phone: The Questions to Ask.

Reason Two: Unclear Quote

A single price with no breakdown, or a page of text, leaves the customer unsure what they are paying for. Faced with a clear quote and an unclear one at similar prices, most people pick the clear one.

What to change: One line per service, first visit and recurring prices shown separately, add-ons listed by name, and a short what-is-included section. Show the home's details the price is based on. MaidBossPro estimates do this from your service list automatically.

Reason Three: Hard to Say Yes

A customer who has to print, sign, scan and email to accept a quote will often put it off. A customer who has to call during office hours may never find the time.

What to change: Let customers approve online. In MaidBossPro, they approve from their phone, and the approved estimate becomes the scheduled job. For customers coming from your website, the sign-up form lets them choose a service and price you offer, with a card captured, all in one step.

Reason Four: No Follow-Up

Many customers who do not answer were planning to say yes. They got busy, forgot, or had one small question. Without a follow-up, the quote quietly dies.

What to change: Turn on estimate follow-up emails so every unanswered quote gets a reminder. For large jobs, add a personal call or text after a week.

Reason Five: Price or Fit

Some quotes really are lost on price. Before you lower anything, check what kind of quotes you lose on price. If it is mostly one-time cleans or monthly service, that may be fine. Those are often the least profitable jobs. If it is the recurring every-two-weeks homes you most want, look harder.

What to change: Offer choices instead of discounts. Show weekly, every-two-weeks and monthly as separate prices, so a customer can pick what fits their budget. Remove add-ons rather than cutting the base price. Explain what the first-time deep clean covers. If you still lose a lot of the work you want, review your service list prices against your actual costs, not against the cheapest company in town.

Sometimes the fit is wrong: a customer wants a service you do not offer, in an area you do not serve, on a schedule you cannot meet. Those losses are fine. Being honest early saves both sides time.

When you can, ask. A short, friendly text to a customer who went elsewhere, such as “Thanks for considering us. If you don't mind sharing, what made the difference?”, often gets an honest answer. Not everyone will reply, but the ones who do tell you more than any guess.

Make One Change at a Time

Do not change everything at once. Pick the most likely reason for your losses, make one change, and watch your estimates for a month or two. If quotes sent on the call are approved more often than ones sent later, push to send more on the call. If follow-ups bring customers back, keep them on. Small changes compound over a year of quotes.
