Recurring Cleanings: Weekly, Every Two Weeks and Monthly Without the Calendar Juggling
Recurring clients are what make a maid service steady. A full book of weekly and every-two-weeks homes means you know what next month looks like. But keeping that book straight on a calendar is a constant chore, and one missed client is one client who starts looking for another cleaner.
Recurring Clients Are the Ones You Remember Best
How House Cleaning Software Remembers Each Home So Nobody Re-Types the Lockbox Code covered how a home's details carry from one job to the next. Recurring cleanings are the other half: they decide when each visit happens and who does it.
Why Calendars Fight You
The usual way to handle recurring clients is to put a repeating event on a calendar. It looks tidy until real life happens:
- The calendar event has the time, but the door code, the pets and the extras live somewhere else.
- The team never sees the calendar, so someone still has to text each cleaner their homes every morning.
- A client raises their price or switches teams, and every future event has to be edited by hand.
- The series quietly runs out, and nobody notices until a regular client calls asking where the team is.
The calendar knows the pattern, but it is not connected to the work.
A Fixed Slot for Every Recurring Client
MaidBossPro treats a recurring client the way most maid services already promise: the same day, the same time and the same team. On Recurring Cleanings (Schedule → Recurring), click Add Recurring Cleaning and pick:
- The home, plus the service and its price.
- The frequency: weekly, every 2 weeks, every 4 weeks, or monthly on the same date.
- The first cleaning date, which sets the weekday.
- The time and the team, such as 9:00 AM with Team 1.
- How far ahead to schedule: 3, 6 or 12 months.
Every visit in that range goes straight onto the schedule. Each one shows on the Scheduled List for its day and on that team's app, in route order, with the time on the card. The home's cleaning details (beds, baths, pets, extras, entry code) are copied onto every visit from its last cleaning.
The Recurring Cleanings List
The list shows each client's slot in one line, such as “Every 2 weeks · Tuesdays · 9:00 AM · Team 1”, along with the next visit and how far ahead it is scheduled. When a series is running out, the list warns you, so no regular client drops off the schedule by accident. The Waiting List is a separate place, for one-off work waiting to be booked, and it gets its own guide next.
Setting Up a Recurring Client
Adding a recurring client is straightforward:
- Create the client and their address. If you imported a list by CSV, they are already there.
- Add the cleaning details: type (usually Recurring Maintenance), bedrooms, bathrooms, square feet, pets, extras and entry notes.
- Click Add Recurring Cleaning, then pick the frequency, first date, time and team.
- Choose 3, 6 or 12 months. The visits are on the schedule right away.
Many companies start new recurring clients with a first-time deep clean and switch them to recurring maintenance after. Book the first job as a Deep Clean, then start the series as Recurring Maintenance, and the team will know which kind of visit it is.
Changing, Extending or Stopping a Series
Clients change their minds. A client wants Thursdays instead of Tuesdays, a new cleaner takes over the route, or the price goes up in the new year. Click Change on the series and update the team, the day of the week, the time or the price. It applies to all upcoming visits, and finished visits stay as they are.
Click Extend 6 months to add more visits when a series is running out, or Stop when a client ends service. If a client is away for one week, move or skip just that visit from the schedule. The rest of the series stays in place.
Recurring Work and Billing
Recurring clients are usually the easiest to bill. Many put a card on file, and when the team taps Complete the invoice is created and the card can be charged. Some prefer a charge on a schedule instead. The billing side is covered in Invoicing and Card on File: Getting Paid for Every Cleaning.
For offices and property managers with recurring cleanings, monthly account billing rolls every location into one statement.
One System for Recurring and One-Time Work
Recurring maintenance does not live in a separate world from your deep cleans and move-outs. Both show up on the same dispatch board, so you can fit a one-time job into a team's day next to its regular homes. For the full picture, visit the house cleaning software page.
