What to Look for in a House Cleaning Software Demo
A software demo is designed to look good. Every screen is full, every job is tidy and every button works. That does not tell you much about whether the software will hold up on a Tuesday when a team is out sick and a client changed their door code. The trick is to bring your own Tuesday to the demo.
Before You Click Anything
If you have decided to leave paper behind, as in Getting a Cleaning Business Off Paper and Group Texts, the next step is choosing what to move to. A demo is where that choice gets made.
Before you start, write down three real homes from your book: one easy recurring client, one with a dog and a tricky entry, and one deep clean or move-out. Keep them handy. You are going to try each of them in the demo.
1. Can It Hold the Details of a Home?
Try to enter your tricky home. Look for:
- A cleaning type, not just a job name.
- Bedrooms, bathrooms and square feet.
- Pets.
- Extras like Inside Oven, Inside Fridge or Change Linens.
- Entry notes: lockbox, door code, alarm, rooms to skip, products to use.
Then ask: where do these show up? If they only live on a client profile nobody opens, they will not help the team. In MaidBossPro, they show under the address on the office lists and on the team's phone.
2. What Happens on the Second Visit?
Book a second job at the same home. Does the software fill in the details from the last job, or do you start from scratch? This one test tells you a lot about whether the software was built for repeat cleaning.
3. How Does Recurring Work?
Set your easy client on every-two-weeks service on Tuesdays at 9:00 AM with one team. Do the visits show up on the schedule and the team's app, with the time on the card? Then move one visit to Thursday and skip another. Does the rest of the series stay put? Finally, change the price or the team for upcoming visits, and check that finished visits are left alone.
In MaidBossPro, each recurring client keeps a fixed slot, every visit for the next 3, 6 or 12 months goes straight onto the schedule, and the Recurring Cleanings list warns you when a series is running out.
4. Look at the Team App on a Real Phone
Do not just look at screenshots. Open the team app on your own phone. Ask yourself:
- Does it need an app store download, or does it run in the browser?
- Could your least techy cleaner use it on day one?
- Are the extras and entry notes on the card, or hidden behind a tap?
- How many taps does it take to start, finish and photograph a job?
The app your cleaners use every day matters more than any office screen.
5. Follow the Client's Side
Ask what the client sees. Are reminders automatic? Can the client choose which alerts they get? Is there a customer app where they can see invoices, update their card and pay? Is there a live view of the route? Clients notice these things, and they shape how professional your company feels.
6. Follow the Money
Complete a job in the demo and see what happens next. Is an invoice created on its own? Can a card on file be charged? Can you add sales tax? What about an office client who wants one bill a month for several locations? Billing is where a lot of software falls apart for cleaning companies.
7. Ask About Getting Your Data In
Ask how you would bring your client list over. CSV import is the common answer. Ask whether imported addresses are placed on the map automatically, or whether someone has to pin each one. Then ask how long it would take to get your next week of cleanings running, from the import to the team app. A good answer is measured in days, not weeks.
8. Check the Price, All of It
Find out what is included at each price, whether the team app costs extra and how texting is handled. MaidBossPro is $59, $89 or $199 a month on Start, Pro and Crew, with the team app and customer app included and a monthly text allowance on each plan. More on that in House Cleaning Software Pricing: What $59, $89 and $199 a Month Cover.
