Charging the Card on File When the Cleaning Team Taps Complete
Cleaning companies have a payment problem that most trades do not: the customer is usually not home. There is nobody at the door to hand over a check, and nobody to run a card for. That leaves a lot of small businesses chasing payments by text on Sunday night, or finding a check under a magnet two weeks late. Charging a card on file when the job is done solves most of that.
Payment Happens at Complete
The customer gets texts while the team is on the way and when it arrives, as covered in Automatic On-the-Way and Arrived Texts From the Cleaning Team's Phone. When the team leaves, billing takes over.
In MaidBossPro, tapping Complete creates the invoice from the job. If the customer has a card on file and their account is set to auto-charge on completion, the card is charged right then. The team does not handle the card, see the card number, or ask the customer for anything. They finish the clean, take the after photos, tap Complete, and drive to the next home.
How Cards Get on File
Cards land on file in a few ways:
- Sign-up form. A new customer who signs up through your website sign-up form enters their card as part of signing up. One click in Form Responses turns that sign-up into a client.
- Customer app. Customers can add or update their card themselves in the customer app.
- Ask at the first visit. When a new customer books by phone, the office can text them a reminder to add a card in the customer app before the first clean.
For recurring customers, asking for a card on file at the start is normal and expected. Most people would rather not think about paying their cleaner every two weeks.
Charge on Completion or on a Schedule
Auto-charge can happen on completion or on a schedule. Each fits a different kind of customer:
- On completion. The card is charged when the team taps Complete. Simple and immediate, good for most recurring homes and one-time deep cleans.
- On a schedule. Charges run on a set schedule instead of at each visit. Useful when a customer prefers to be billed at set times.
- Monthly account billing. An office, dental group or property manager set to Monthly gets one statement each month covering every location, each line labeled with its address, rather than a charge per visit.
Why the Team Never Touches Payment
Keeping payment away from cleaners is a good thing for everyone:
- Cleaners are not put in the awkward spot of asking for money from a customer who is home.
- Nobody carries checks or cash between homes.
- Card details are not written on paper or texted around.
- The amount always matches the job, because it comes from the line items, not from what the cleaner remembers.
For a team that hates paperwork, there is nothing to fill out. See A Maid Service App for Cleaners Who Hate Paperwork for more on keeping the phone side light.
Talking to Customers About Cards on File
Some customers hesitate to leave a card with a cleaning company. A plain explanation usually settles it: the card is charged only when a clean is completed, the amount matches the invoice they can see in the app, and they can update or change it anytime themselves. Offer to text them the invoice for the first visit so they can see how it works. Most customers who try it once never want to go back to leaving checks on the counter.
When a Charge Fails
Cards expire, get replaced after fraud, or hit a limit. When a charge does not go through, the invoice stays open and past-due follow-up kicks in. The customer can update their card in the customer app and pay the open invoice online.
A few office habits keep this smooth:
- Check open invoices once a week so nothing sits too long.
- Send a friendly text through two-way texting: “Looks like the card on file was declined. You can update it in the app anytime.”
- For a long-time customer, give it a few days before worrying. It is almost always a replaced card.
Getting the Amount Right Before Complete
Because the charge happens at Complete, the job needs to be right before the tap. If a customer asked for the inside of the fridge at the door, the office should add the extra to the job first, so the invoice includes it. If the team could not finish part of the clean, the office should adjust the job before the charge. A quick text from the team lead to the office before tapping Complete is the habit that prevents most refunds.
