Setting Route Order by Hand When a Cleaning Team Needs a Different Sequence
A route built purely for driving is a good start. But a cleaning day is not just a delivery run. Customers have meetings, kids, dog walkers and closings. Offices have hours. Some homes are easier first thing and some are easier last. Setting the route order by hand is how you fold those real-life details into a route without throwing the driving order away.
Auto-Route First, Then Adjust
The usual starting point is the one-click order explained in Auto-Route for Cleaning Teams: Closest First vs. Furthest First. Auto-route sorts the team's homes by distance from the office. Then you move the few stops that need to be somewhere specific.
In MaidBossPro, you set route order on the dispatch board for that team and day. Whatever order you set is the order the team sees on the phone, from the first card to the last. Nobody has to remember that “the Garcias are really third today.” The list says so.
Stops That Usually Need a Fixed Spot
Most hand changes come from the same handful of situations:
- The work-from-home customer. They want the team in and out before a mid-morning call, so they go first or second, whatever auto-route says.
- The key handoff. A move-out where the property manager meets the team at 9 with a key has to be first.
- The after-hours office. A small office or a dental suite that can only be cleaned after closing goes at the end.
- The customer who wants to be home. An elderly customer who likes to be there when the team arrives may prefer late morning.
- The school pickup. A family that wants the vacuum off before the kids walk in at 3.
Put those in place and leave the rest of the list in driving order. Usually only one or two stops on a team's day need a fixed spot.
Ordering Around the Big Clean
The other reason to set order by hand is the size of the jobs. A deep clean or a move-out can take as long as two or three recurring homes. Where you put it changes the whole day.
Some owners like the big clean first, while the team is fresh and before the afternoon gets hot. Others like two quick homes first so the team builds momentum. Either way, look at the cleaning details on the board (“Deep Clean · 4 bed / 3 bath · + Inside Oven, Baseboards”) and decide on purpose, instead of letting the map decide for you. Mixing long and short cleans is covered in Mixing Long and Short Cleans in One Team Day.
Write Down Why
A route order set by hand is easy to undo by accident. The next person who auto-routes the team will put the work-from-home customer back where the map wants them. A short note on the home helps: “Wants team before 10am, works from home” or “Office: after 5pm only.” Notes on the address show up on the team's card too, so the team understands why the order is the way it is.
This matters most when more than one person builds the schedule, or when the owner is away and someone else is covering.
Keep the Customer Informed
The route order drives what the customer sees. Alerts like “when they're next” follow the order, and the customer app shows the day's route with their place in it: “You're stop 3 of 6.” If you move a customer from the end of the day to the start, they will see it.
For customers who asked for a time, it is worth a quick text from the office confirming it: “You're first on Team 2's list Thursday, so expect them in the morning.” Two-way texting keeps that conversation in one place.
Don't Overdo It
It is tempting to hand-order an entire day. Usually that leads to a route that zigzags. If you find yourself moving every stop, step back and ask whether the team has the right homes in the first place. A home that always needs to be first might belong on a different team whose route starts near it. A team that always ends with a long drive home might do better with Furthest First.
The goal is a day that respects the customers who need a certain time and keeps the driving short for everyone else. Auto-route plus one or two hand changes is usually enough.
After Changes, Check Again
Whenever a home is added, removed or moved to another team, glance at the hand-set stops again. A new deep clean added mid-week can push the after-hours office past closing time, or bump the morning customer later than they wanted. A quick look after each change keeps those promises intact.
