Moving Cleaning Billing Off Paper and Payment Apps
A lot of cleaning companies bill the way they started: a notebook of who owes what, a spreadsheet for the monthly total, invoices typed one at a time, and payments arriving by check, cash or a person-to-person payment app. It works while the business is small. It stops working somewhere between the tenth recurring customer and the second team, when nobody can say for sure who paid for last Tuesday.
Why the Old Way Breaks Down
The previous guide, Billing as a Solo House Cleaner: Getting Paid Without an Evening of Paperwork, covered billing for one person. Paper and payment apps feel fine at that size. As the business grows, the problems compound:
- Payment-app transfers with no context. A transfer from “J. Smith” with an emoji in the memo. Which cleaning? Which J. Smith?
- Invoices built from memory. The extra that got done but never written down.
- Spreadsheets that drift. One missed row and the month's total is wrong.
- Personal accounts mixed with business. Payments landing in the same app you use to split dinner with friends.
- No record for the customer. They cannot look up what they paid for or when.
None of these are dramatic. They just quietly cost time and money every week.
The Plan: Move in Order
Switching billing all at once is stressful for you and confusing for customers. A steady order works better. Pick a start date, ideally the first of a month so you are not splitting a month between two systems, and work through these steps.
Step One: Clients, Homes and Services
Start with what you bill and who you bill. Set up your service list in MaidBossPro: your cleans, your extras and any fee lines, at your prices. Pricing can tie to bedrooms, bathrooms or square feet.
Then bring in your clients. CSV import loads them from a spreadsheet, and imported addresses are placed on the map automatically. Add each home's details: cleaning type, bedrooms, bathrooms, square feet, pets, extras and entry & notes. Give each recurring client a fixed slot with Add Recurring Cleaning (frequency, day, time and team), and their visits go straight onto the schedule. Customers with several homes or rentals become one client with many addresses. Offices and property managers can be set to Monthly.
Step Two: Cards on File
Next, get cards on file. New customers sign up through your sign-up form, which captures the card; one click converts the sign-up into a client. Existing customers can add a card in the customer app.
Send existing customers a short text through two-way texting with the start date and the reason: “Starting the 1st, we're moving billing to our customer app. You'll be able to see every invoice and pay or add a card there. No more checks or transfers needed.” The detailed approach is in Billing Recurring Cleaning Clients Without Chasing Checks.
Step Three: Let Complete Create the Invoice
From the start date, teams tap Complete in the team app and the invoice is created from the job, with the clean and each extra as their own lines and tax if you have set it up. Cards on file can be charged right then or on a schedule. Customers without a card see the invoice in the customer app and pay online.
For the first couple of weeks, look at every invoice before or right after it goes out. You are checking that prices on the service list are right and that recurring homes have the right extras. Fix anything once and it stays fixed.
Step Four: Close Out the Old Way
Do not leave the old system running alongside the new one. Collect whatever is still owed under the old way, mark it settled in your old records, and stop there. Tell customers who were paying through a payment app that you will no longer accept payment there after a certain date, and point them to the customer app instead.
Keep your old spreadsheets and notebooks for your records and your accountant. You just will not need to add to them anymore.
What Changes Day to Day
Once the move is done, billing mostly disappears from the day. Invoices come from finished jobs. Cards are charged without anyone asking. Customers see their history in the app. Past-due follow-up handles the stragglers. Reports show what was billed, paid and still open. What is left for you is a short weekly look at exceptions and a month-end review.
Off Paper for Good
Moving billing off paper and payment apps is a one-time project with a steady payoff. Set up services and clients, collect cards, let Complete create the invoice, and close out the old way on a clear date.
